  1. Introduction
    The Jersey Off Road Bicycle Association (JORBA) is seeking proposals from qualified
    web development firms to redesign and maintain our website, JORBA.org. The new
    website should include an e-commerce solution, CRM integration, tools for membership
    acquisition/renewals, and comprehensive marketing tools.
  2. Background
    JORBA is a 501©(3) non-profit organization dedicated to serving off-road cyclists in
    New Jersey. Our mission is to build and maintain sustainable multi-use trails, organize
    volunteer efforts, and advocate for mountain biking as a healthy and environmentally
    sound activity. Our current website needs a redesign to better serve our community and
    support our mission.
  3. Project Goals
    ⦁ Redesign: Create a modern, user-friendly website that reflects JORBA’s mission
    and values.
    ⦁ E-commerce Solution: Implement a secure and efficient e-commerce platform
    for membership sales, donations (and potentially merchandise sales in the future).
    ⦁ CRM Integration: Integrate a CRM system to manage member data,
    communications, and engagement.
    ⦁ Membership Tools: Develop tools for easy membership acquisition, renewals,
    and management.
    ⦁ Marketing Tools: Incorporate tools for email marketing, social media integration,
    and analytics.
    ⦁ Ongoing Website Maintenance: Security maintenance, performance
    optimization, content updates, protection from spam bots, technical support and
    compliance.
  4. Scope of Work
    4.1 Website Redesign
    ⦁ Develop a responsive and accessible website design.
    ⦁ Ensure compatibility with all major browsers and devices (desktop & mobile).
    ⦁ Implement a content management system (CMS) for easy updates.
    ⦁ Creation of a Chapter Page listing active chapters and a brief history of each
    chapter.
    ⦁ G Suite for nonprofit organizations – integration with jorba.org (synchronization
    of email addresses, login credentials & permissions) & event calendar integration
    4.2 E-commerce Solution
    ⦁ Integrated e-commerce platform to facilitate membership fulfillment & charitable
    donations.
    ⦁ Integrate a secure payment gateway.
    ⦁ Set up product pages, shopping cart, and checkout process.
    ⦁ Ensure compliance with all relevant security standards.
    ⦁ Allow users/members to easily manage existing memberships or create new
    memberships.
    ⦁ Set up a JORBA merchandise store for SWAG fulfillment and sale of JORBA
    branded soft goods.
    ⦁ Explore batch processing or develop a process for handling new memberships
    (Trek has floated the idea of donating a free JORBA membership with the
    purchase of a new mtn bike over $2K). Can we solve this in an automated manner
    or does JORBA need to enter these memberships manually?
    4.3 CRM Integration
    ⦁ Integrate a CRM system to manage member information.
    ⦁ Enable automated communication workflows.
    ⦁ Provide training for JORBA staff on CRM usage.
    ⦁ CRM should be integrated with email marketing tools and membership
    development tools.
    4.4 Membership Tools
    ⦁ Develop a user-friendly membership sign-up and renewal process.
    ⦁ Implement automated reminders for renewals.
    ⦁ Provide a member portal for profile management.
    ⦁ Automated reminders for members to alert when memberships will expire and
    encourage renewals.
    ⦁ Allow users the opportunity to opt-in for auto renewal.
    4.5 Marketing Tools
    ⦁ Integrate email marketing tools.
    ⦁ Enable social media sharing and integration (i.e. automatically turn website posts
    into social media posts on Facebook, Instagram and X).
    ⦁ Set up analytics tools for tracking website performance.

    5.1 Security Maintenance
    ⦁ Regular security audits and vulnerability assessments.
    ⦁ Implementation of security patches and updates.
    ⦁ Monitoring for potential security threats.
    ⦁ Review forms and pages for security vulnerabilities & implementation solutions

    5.2 Performance Optimization
    ⦁ Regular performance audits and optimizations.
    ⦁ Ensuring fast load times and minimal downtime.
    ⦁ Optimization of images and other media.
    5.3 Content Updates
    ⦁ Updating website content as requested by JORBA.
    ⦁ Ensuring content is accurate and up-to-date.
    ⦁ Assisting with the creation of new content when needed.
    5.4 Technical Support
    ⦁ Providing ongoing technical support and troubleshooting.
    ⦁ Addressing any issues that arise promptly.
    ⦁ Offering training for JORBA staff on website management.
    5.5 Compliance
